POSITION OVERVIEW: The Administrative Assistant role at Turf Jockeys is a strategic member of the team and acts as a liaison between Administration, clients, vendors, and field operations. The position performs a wide range of administrative office and support activities to facilitate efficient operation of the organization, This role demands the ability to exercise independent judgment as it pertains to executive and operational interactions while ensuring alignment with organizational goals.

PERFORMANCE OBJECTIVES:
- Greet Clients and answer phones with a positive, winning attitude
- Enter Client contact information and communications into the database assign incoming leads to the appropriate departments
- Knowledge and proficiency in Excel and Google Docs
- Prepare job packets for clients' projects and monitor status through the construction process
- Process invoices and receive client payments through QuickBooks
- Manage Job Project Data Entry
- Manage timesheets and payroll sheets
- Manage time off calendars and accruals of benefits for employees
- Enter billing and run aging account reports for payables through QuickBooks
- Maintain accurate payables/receivables
- Contact vendors with payments and or to collect payments
- Assist sales with follow-up calls to potential clients
- Assist With Client communications and paperwork through various project stages
- Assist the Marketing department with various marketing campaign management
- Assist the Sales force with scheduling client meetings and document preparations as requested and needed
- Strive for continuous personal improvement through various training opportunities with the organization
- Excellent communication between team members and team leaders
- Embrace the organization's values, mission statement, and promote alignment with colleagues, clients, and the organization
- Ability to prepare weekly/monthly/quarterly/annual reports as requested and needed
- Knowledge of payroll and HR laws, and working with a CPA
- Ability to maintain the Organization and Client information confidentiality
- Ability to work in a high-paced work environment

EDUCATION & EXPERIENCE:
- High School Diploma, GED, or equivalent (College experience desired)
- 2- or 4-year College degree in business or equivalent
- Ability to speak, read, and write English
- Minimum of 2 years' experience in customer service
- Minimum of five years' experience in bookkeeping and/or QuickBooks
- Must possess a valid driver's license
PHYSICAL REQUIREMENTS:
- Excellent stamina and work ethic
- Ability to lift 25 lbs.. when necessary
- Prolonged periods of sitting at a desk and working on a computer
